Delivering a presentation is always daunting. Preparation is key and this includes creating professional and informative presentation handouts.

The quality of your handouts leaves a lasting impression with your audience. A series of PowerPoint slides hastily stapled together on flimsy paper will not impress potential customers or clients. When you are preparing presentations, reports or training materials, there are several points to bear in mind.

Take Time to Prepare Your Handouts

Presentation handouts should not be an afterthought. They are an integral part and should enhance the presentation.

Merely printing out your presentation slides is not an effective option, unless additional notes have been included. Remember to always proof read your presentation and correct any spelling mistakes or incorrect information beforehand.

Always print a few extra handouts, even if you are confident that you know how many you need.

Take a look at your presentation handouts. Do they standalone as a good representation of your presentation? Imagine someone looking at the handout without attending your presentation. Would they understand the content?

Remember to incorporate your company’s branding into the handouts.  Your handout is a reflection of your business and therefore should complement its branding and tone of voice.

Ensure Your Handouts Meet the Needs of Your Audience

A series of bullet points may be easy to follow during the course of the presentation. However, your audience may struggle to put these into context in the days, weeks and months after the event.

Incorporating colour is important but it should not be overly used as it can be distracting. Stick to two, at the most three colours. Using graphics, charts and images also helps readers retain information and understanding.

Do not overfill the page with text and images. It is important to leave enough space on the page for people to write their own thoughts and observations.

Ensure that contact and follow up information is included at the end of the handout for people to refer to.

Use high quality paper and present your documents in a way that makes it easy for your audience to keep the information together. Presentation folders and wallets are a good option and will protect paperwork from damage.
